Check the path from an advertisement to your team’s response, and distinguish clicks, enquiries and real sales opportunities.

Map one enquiry

Start with a concrete example: someone sees an ad, opens a page, clicks a button, sends a message and receives a reply. For every step, identify the tool, expected action and responsible person.

This exposes gaps that do not show up inside a single advertising account. The ad may be doing its job while the next step is unclear or the request gets lost during handover.

Check that the promise matches

Compare the ad with the page. Do the service, audience, terms and next action match? If a visitor lands on a general homepage instead of the relevant service, they have to work out the offer again.

Different needs may require separate landing pages. Their content should genuinely help people make a decision, not simply repeat a different advertising phrase.

Separate events from outcomes

A WhatsApp button click shows an intention to open the app. It does not prove that a message was sent. A sent message is not necessarily a suitable enquiry, and a suitable enquiry is not yet a sale.

Keep these stages distinct in analytics and team reporting. Otherwise a healthy-looking number can hide a problem further along the journey.

Look at the handover

Where does the request appear, who sees it and how do they know someone has picked it up? When information arrives in several chats, teams often start copying it manually. Agree responsibility and handover rules before choosing automation.

A short bot flow can offer a language and service choice. More complex questions need a clear route to a person. Automation should not leave the customer inside an endless menu.

Walk through the journey

  • Open the ad and landing page on a phone.
  • Check that the service and next action are clear.
  • Complete the form or message-preparation flow.
  • See where the enquiry appears.
  • Check what information reached the team.
  • Establish how replies and later statuses are recorded.

Label test enquiries as tests. Do not use real personal information just to check an interface.

Choose one change

Use the journey map to write an observation and a hypothesis. For example: the button opens a general chat without context; adding the chosen service to the message draft may make it easier for the team to understand the request.

Avoid changing every step at once if you want to understand the effect of a specific change. Evaluation needs comparable periods, enough data and attention to enquiry quality.

When an audit helps

If you cannot see where the problem lies, start with a focused review of the website, advertising and enquiry handling. The output should be a prioritised plan for checks and fixes, with conclusions grounded in the available evidence.
